When you begin working with me, you will be provided with a programme-specific coaching agreement (for 1:1 coaching, Access to Work coaching, or group coaching). You will be asked to read and sign this agreement before coaching begins.

I believe in working transparently and ethically, so the key terms that underpin how I work are outlined below to help you make an informed decision before committing.

After completing a coaching programme, you may be invited to complete a client feedback form issued by the Association for Coaching.

I am a full member of the Association for Coaching (AC) and adhere to the AC Global Code of Ethics for Coaches, Mentors and Supervisors, as well as their professional practice guidelines. These standards inform all coaching agreements and how I work with clients.

Coaching Agreement

Client Statement

I agree to undertake the full agreed coaching package, consisting of scheduled sessions of approximately 60 or 90 minutes (depending on the programme), to address key changes I wish to make in my life.

I am committed to taking positive action to make improvements in my life and to meeting the goals I identify as necessary to do this. I commit to being as open and honest as necessary in order to work effectively with my coach and, where applicable, other group members.

 

Timetabling of Sessions

1:1 and Access to Work Coaching

I understand that if I need to rearrange a 1:1 coaching appointment, I will give at least 48 hours’ notice. If I fail to give 48 hours’ notice, my coach is within their rights to count this session as part of the agreed package and I will be responsible for the full coaching fee.

Group Coaching

I understand that group coaching sessions are scheduled in advance and cannot be rearranged. If I am unable to attend a session, I will aim to give notice via email so the group is aware. Missed group sessions are non-refundable and will be counted as part of the package even if I do not attend.

Ground Rules

  1. I understand that I am fully responsible for the decisions and choices I make during coaching. I understand it is my responsibility to make any notes that I may need.

  2. I understand that coaching is a professional relationship designed to facilitate the development of personal or professional goals and to support strategies for achieving those goals.

  3. I understand that coaching is a comprehensive, holistic process that may involve areas such as work, health, relationships, family, education, wellbeing, and lifestyle. I acknowledge that deciding how to handle any issues is my responsibility.

  4. Coaching is not counselling, therapy, medical treatment, or advice. I understand that coaching is not a substitute for mental health care or substance misuse treatment.

  5. I agree to inform my coach if I am currently receiving therapy or other professional support and confirm that relevant practitioners have been informed of my intention to work with a coach.

  6. I agree to commit to the coaching programme to facilitate change. I understand that coaching packages are non-refundable and non-transferable once started.

  7. I agree to begin and finish all appointments on time.

    • If I am more than 15 minutes late to a 1:1 session, the coach may assume the session is cancelled and it will be counted in full.

    • If I am more than 15 minutes late to a group session, I may not be admitted and the session will still be counted.

    • If the coach is more than 15 minutes late to a 1:1 session, I will not be charged for that session.

 8. Session Recording

  • For 1:1 coaching, I agree to inform my coach in advance if I wish to record a session. Any personal recordings must be deleted within 30 days to protect confidentiality.

  • Group coaching sessions may be recorded by the coach for participant replays, quality assurance, professional development, or marketing purposes. Any public use will feature only Bex Harper, with all participant-identifying information removed in line with GDPR. I understand I must not record group sessions myself or share programme materials externally.

9. For 1:1 and Access to Work coaching, I understand that if I do not book and attend at least two sessions per month (unless otherwise agreed in writing), unused sessions may be forfeited. These sessions are non-refundable and cannot be claimed after the package end date.

10. I understand that my coaching package may be terminated by the coach if I do not book two sessions within a 30-day period (unless a break has been agreed in writing), or if I do not make contact via email or text during a 30-day period following my last session.

11. I understand that I may request to pause my 1:1 or Access to Work coaching package for up to three (3) months, subject to written agreement via email. At the end of the agreed pause period, I will have 14 days to confirm whether I wish to resume coaching. If I do not confirm within this timeframe, any remaining sessions will be forfeited without refund.

12. For group coaching, I understand that my place may be withdrawn if I miss two or more consecutive sessions without contact.

Data Protection

I agree to my personal information, including (but not limited to) my name, email address, phone number, and postal address, being held securely by Bex Harper Earth Coaching.

I agree to be added to the mailing list and understand that I may unsubscribe at any time. My personal information will only be used for business purposes and I may request in writing that I no longer be contacted.

I consent to being contacted via email, phone, text message, and online platforms including Zoom, MS Teams, Google Meet, or Skype for business purposes, including arranging sessions, re-contracting, service updates, business holidays, special offers, or new services.

My personal data will be retained securely for up to 5 years after my last coaching session to allow for professional auditing by the Association for Coaching or International Coach Federation. I understand I may withdraw consent in writing at any time.

Professional Ethics

As a full member of the Association for Coaching, the coach adheres to the AC Global Code of Ethics for Coaches, Mentors and Supervisors.

All coaching conversations and records are kept confidential, as permitted by law. No personal information will be shared without the client’s explicit consent, except where there is a legal obligation or an imminent risk of serious harm to the client or others.
